Keep the unsubscribed and bounced columns. They are evidence.
An email platform export is the best source you have, because it records who said no and which addresses bounced. Export the whole audience with its status, not only the subscribed part.
Export it
- Export the full audience
Choose the audience or list, then Export. Include every status: subscribed, unsubscribed, cleaned or bounced. If the platform asks, choose all contacts.
- Choose CSV
Most platforms offer CSV directly. Some deliver a zip by email: unzip it and upload the CSV inside, not the zip.
- Keep the status and date columns
Status, opt-out date, bounce reason and last changed date are exactly what the audit reads. Delete engagement scores and tags with personal meaning.
- Upload that file
Create your private Desk and upload the CSV.
Which columns to keep
Only the email is required. Everything else is optional, and less is safer.

- Email (required)
- Status: subscribed, unsubscribed, bounced, cleaned
- Opt-out or unsubscribe date
- Bounce type or reason
- Signup or last-changed date
- Which brand or list they were on
Delete before upload
- Engagement and rating scores
- Tags that describe a person
- Location fields
- Notes
- Anything not about the email relationship
An unsubscribe in this file becomes an explicit restriction for that address on the email channel. A bounce becomes "email address unavailable" for that address only. Neither is widened to other addresses or channels.
