Find Export, choose CSV, keep the status column.

Nearly every system has an export somewhere in Contacts, Customers or Reports. The exact path differs; the shape of the file you want does not.

Export it

  1. Open the contacts or customers list

    Not the deals, jobs or invoices list. You want one row per person or business, with their status.

  2. Filter before you export, if you can

    Many systems let you filter by status or date. Export only past enquiries, quotes, bookings and customers. Leave suppliers and staff out.

  3. Choose Export, then CSV

    It is usually under a menu with three dots, a gear, or Reports. Choose CSV. If only Excel is offered, open the file and save it as CSV.

  4. Keep the columns that say what happened

    Status, last activity date, enquiry or quote or booking, and any unsubscribe flag are evidence. Keep them. Delete amounts and notes.

  5. Upload that file

    Create your private Desk and upload the CSV. Files up to 75 MB.

Which columns to keep

Only the email is required. Everything else is optional, and less is safer.

Keep

  • Email (required)
  • Name or business name
  • Status or stage
  • Last activity date
  • Enquiry, quote, booking or customer flag
  • Unsubscribe or do-not-contact flag
  • Brand or service they dealt with

Delete before upload

  • Invoice and quote amounts
  • Notes and call logs
  • Postal addresses
  • Attachments and links
  • Payment details
  • Staff, supplier and contractor rows

The Desk does not connect to any system. There is no integration to switch on, and no page on this site implies one.

Before you upload
